Annual Progress Report review process

Each student Annual Progress Report (APR) is submitted to a Higher Degree by Research (HDR) Review Board meeting of staff in mid-April/May of the reporting year where they are considered in conjunction with the APRs submitted by each Supervisor.

The HDR Review Board meetings take place in each Enrolling Area and at least one member of a student’s supervisory panel (Supervisor, Co-Supervisor or Associate Supervisor) must be in attendance. Meetings are run in a format similar to the current Board of Examiners meetings and be chaired by the Head of Enrolling Area, or designate. It is recommended that the relevant Graduate Research School (GRS) staff member also attend each meeting.

GRS staff produce a Collation Sheet for each Enrolling Area with relevant student data. The Collation Sheets, together with the student and supervisor APRs, are dispatched to Heads of Enrolling Area in April of the reporting year. Where the Head of Enrolling Area is the student’s supervisor, Collation Sheets and APRs are dispatched to the Postgraduate Coordinator.

If a student has submitted a document, in confidence, detailing any concerns that they have regarding their candidacy then these comments are not presented to the Higher Degree Review Board and are considered separately by the Associate Deputy Vice-Chancellor, Research Training within the Office of Research and Development. A student’s entire report is not confidential, only the separately submitted document is considered in confidence.
